1. Where Should You Start?

The right starting point depends on your situation. A first-time team, a team close to submission, and a team reviewing a disappointing scorecard need different help.

2. What Is EcoVadis?

EcoVadis is a business sustainability rating platform used by buying organisations to assess suppliers and business partners. It is best understood as an assessment of sustainability management-system maturity, not as a product label or simple certificate.

For most suppliers, EcoVadis becomes urgent because a customer asks for a scorecard during onboarding, supplier review, contract renewal or a tender process. The customer usually wants a consistent way to understand supplier sustainability risks, compare suppliers and track improvement.

A stronger EcoVadis result can support customer conversations, supplier qualification, tender responses and internal improvement planning. It should not be treated as a promise of new business. The most useful approach is to treat EcoVadis as a structured improvement cycle: assess, understand gaps, improve your management system, then prepare more mature evidence for the next assessment.

3. How the EcoVadis Questionnaire Is Customised

One of the biggest mistakes is assuming every company receives the same questionnaire. Your questionnaire is tailored to your company profile. EcoVadis uses information such as assessment scope, industry, size and location to determine which questions and sustainability criteria are relevant.

This matters because your evidence strategy should follow your questionnaire. A document that is important for one company may be irrelevant for another company if the assessed scope, industry risks or activated criteria are different.

If you already have platform access, review your company profile and questionnaire before collecting documents. If the scope is wrong, or if colleagues do not understand what is being assessed, the evidence work can go in the wrong direction quickly.

4. Methodology, Themes and Management Indicators

The EcoVadis methodology is built around the quality of your sustainability management system. A simple way to understand it is the P-A-R logic: what you commit to, what you do and what you can prove through results.

The four EcoVadis sustainability themes

• Environment: environmental management topics such as energy, greenhouse gas emissions, water, waste, pollution and biodiversity where relevant.
• Labour and Human Rights: topics such as health and safety, working conditions, social dialogue, training, diversity and human rights.
• Ethics: topics such as anti-corruption, anti-competitive practices, responsible information management, whistleblowing and business conduct.
• Sustainable Procurement: supplier sustainability policies, supplier screening, clauses, due diligence, audits and supplier improvement actions.

The seven management indicators

EcoVadis separates Policies, Actions and Results into seven management indicators: Policies, Endorsements, Measures, Certifications, Coverage, Reporting and 360 Watch Findings.

5. Documents and Evidence

EcoVadis is evidence-based. Your questionnaire answers need supporting documents that prove the specific claims you make. Strong evidence is relevant, current, credible, in scope and easy for the analyst to connect to the answer.

The most useful way to organise evidence is to map it to Policies, Actions and Results:

• Policies: formal commitments, codes, policy statements, objectives and governance documents.
• Actions: procedures, training records, audits, risk assessments, supplier due diligence, certifications and implementation records.
• Results: KPI reports, performance dashboards, sustainability reports, audit outputs and measurable trends.

EcoVadis has a 55-document limit for each assessment, so evidence quality matters more than volume. Consolidated documents can be useful when they are clear and relevant, but combined files should not be used to hide weak or unrelated information.

6. Timeline, Workload and Cost

The questionnaire itself may only take a few hours or a few days once the information is ready. The real workload is usually preparation: finding internal owners, collecting documents, checking scope, filling evidence gaps and reviewing answers before submission.

EcoVadis gives a default questionnaire deadline of 30 business days. After submission, standard scorecard publication usually takes several weeks. Your exact timeline depends on your assessment setup, internal readiness, subscription context and whether you need an extension.

Cost also has two layers. There is the EcoVadis subscription cost, and there is the internal cost of preparing the assessment. Internal time can easily become the bigger cost if evidence is scattered or the project owner has to chase every department.

7. Scorecard and Improvement

Your EcoVadis scorecard brings the assessment result together. It shows the overall score, theme scores, management indicators, Strengths, Improvement Areas and other findings behind the result.

EcoVadis medals and badges are separate recognition signals linked to the scorecard and eligibility rules. They can change over time because EcoVadis reviews eligibility criteria periodically and uses relative performance for medals.

8. Sharing Your EcoVadis Results

Your scorecard can support customer conversations, supplier qualification and tender responses, but it should be communicated carefully. Use the official EcoVadis sharing options and follow EcoVadis medal and badge usage rules when referencing recognition publicly.

In practice, most companies use their result in three ways:

• Customer conversations: share the scorecard with requesting customers through the EcoVadis platform or approved sharing methods.
• Internal improvement: use theme scores and improvement areas to build a corrective action plan.
• External communication: reference medals or badges only in line with EcoVadis usage rules and avoid overstating what the rating means.

The best communication does not only say, "We received a score." It explains what you learned, what improved and what your next priorities are.
