Useful commitments may already sit in your employee handbook, purchasing procedures, Code or environmental and safety documents. The challenge is deciding what is sufficient, what needs changing and who should confirm it.
The kit provides a document-selection process and drafting material. You can retain suitable wording, amend a section, integrate new wording or create a separate document where justified.
Use focused requests to gather documents and facts from HR, Operations/HSE, Procurement, IT, Legal/Compliance, Quality/Product and leadership, as relevant.
Keep current practice distinct from approved future commitments and work still needing implementation. This makes it easier for colleagues to confirm the wording and agree on next steps.

The kit contains 13 editable Word documents and seven PDFs across four folders. The templates are drafting resources, not a list of policies every company must create.

From existing documents to company adoption
Start with your company's documents and relevant topics. You do not need to read every guide in order or adopt all eleven templates.
Use the Policy Selection and Adoption Record to compare topics and existing sections. Choose Retain, Amend, Integrate, Create or Not applicable. For Create, explain why existing documents cannot reasonably provide coverage.
Ask relevant colleagues for existing documents and missing facts. Check drafting readiness before substantial editing. Use template wording only for identified gaps; do not invent practices, targets or responsibilities.
Check scope, factual claims, commitments, references and responsibilities. Resolve applicable fixes, obtain specialist review where needed and remove drafting notes and unused alternatives before approval.
Obtain company approval, then record any required action, responsible person, due date, communication, records to retain and review date. Use the record to hand over the next steps. Check policy-evidence readiness afterwards if relevant.

About the creator
I’m Rutger, founder of Double Your Sustainability. I first worked with EcoVadis from inside a company, coordinating assessments with colleagues across different functions. Over successive assessments, I helped my former company progress from Silver to Gold to Platinum. Since then, I’ve supported SMEs and growing companies in preparing submissions, reviewing evidence, and understanding scorecards.
I now draw on around 15 years in sustainability, an MSc in Strategic Sustainable Development and my work as an EcoVadis Solutions Practitioner to support other companies with their assessments, evidence and submission decisions.
Coordinators are often asked to produce formal policies while depending on input from HR, Operations, Procurement, Legal and leadership. I developed the kit to give them a useful starting point and a practical way to bring those colleagues into the work.
The aim is to help you turn company knowledge into clear commitments, agreed responsibilities and documents your organisation can use.

The kit contains 20 files: 13 DOCX files and seven PDFs. The DOCX files comprise 11 policy and procedure templates and two working tools. You need Microsoft Word or a compatible DOCX editor, plus a PDF reader. Check layout and comments if using another editor. No Excel files or software subscription are included.
No. Review your existing policies, handbooks and procedures first. Record Retain, Amend, Integrate, Create or Not applicable for each relevant topic. A separate document is justified only where existing documents cannot reasonably provide the coverage. There is no minimum number of templates to adopt.
No. The reference guide connects relevant topics to possible drafting resources and explains their limits. Coverage depends on your business and assessment. The kit provides limited support for external-stakeholder human-rights due diligence and environmental services and advocacy. Customer and product safety coverage is conditional and does not replace environmental product-use or end-of-life coverage.
Yes, potentially. Developing a genuine policy in response to an identified gap is valuable. Adapt the wording to your organisation, review it with the relevant owners and approve it for actual use. The policy must become an authentic part of your management system, with responsibilities and follow-through. Before submitting it, check EcoVadis’ current document requirements and whether it supports your answer. EcoVadis does not accept documents created solely to satisfy its questionnaire. Meeting the document requirements does not guarantee acceptance as supporting evidence.
The kit is independently developed and is not approved, certified or endorsed by EcoVadis. It can help you develop clearer company-specific policies, but completing a template does not automatically earn points. Acceptance as supporting evidence and contribution to scoring are separate questions: an accepted document may not demonstrate everything needed for credit against a particular answer or criterion. Your overall result depends on your wider management system, practices and evidence. Neither document acceptance nor scoring improvements are guaranteed, and no score, medal, badge or assessment outcome is promised.
The licence covers one legal entity, including its employees, departments, branches and sites. It does not automatically cover separate group companies. Completed, adapted and approved company policies may be shared with relevant stakeholders and published where appropriate. Original kit resources may not be redistributed or reused for another organisation without permission. The DYS Terms & Conditions set out the full licence.
Yes. An adviser or contractor may access the materials where reasonably necessary to help the licensed organisation, solely for that organisation. They may not retain or reuse the materials for other clients or projects. Each client organisation needs its own licence unless otherwise agreed in writing.
